Administrative & Facility Management

  • Support purchasing, tracking, and maintenance of fixed assets, ensuring accurate records in the asset register.
  • Manage Inventory in/out with proper records and report on a monthly basis.
  • Support the renewal, extension, and compliance of administrative contracts, company licenses, and other statutory documents.
  • Ensure proper maintenance, cleanliness, safety, and security of offices, warehouses, and related facilities in both Thilawa and Yangon branches.
  • Support building and facility maintenance works, including timely repair of structural, plumbing, and water leakage issues.
  • Support grounds and premises upkeep to ensure cleanliness, safety, and proper presentation of company facilities.
  • Manage procurement and inventory of office supplies, equipment, and maintenance services to ensure cost efficiency and availability.
  • Support and coordinate company events, staff welfare programs, CSR activities, and seasonal events.
  • Support ISO certification efforts for the admin department in alignment with company-wide certification goals.
  • Any Ad hoc responsibilities which may evolve based on business requirements and available manpower.

Fleet & Vehicle Management

  • Oversee daily GPS monitoring, fuel consumption tracking, and ensure timely submission of daily, weekly, and monthly fleet reports.
  • Support preventive and corrective maintenance schedules for company vehicles.
  • Supervise vehicle license renewals and ensure timely compliance with all transport-related regulations.
  • Coordinate ferry way arrangements for staff and goods transportation as required.
  • Coordinate with external service providers for repairs and modifications, ensuring cost-effectiveness and minimal downtime.

Compliance & Government Liaison

  • Maintain and safeguard all company-related government documents, permits, and certificates.
  • Liaise with government agencies, SEZ authorities, and relevant institutions for approvals, renewals, and inspections.
  • Ensure the company remains compliant with all administrative, transport, and operational regulations applicable to logistics and warehousing.

Leadership & Process Improvement

  • Supervise and mentor junior admin staff, assigning tasks and monitoring performance.
  • Review and improve administrative processes to increase efficiency and reduce operational costs.
  • Coordinate with warehouse, transport, and freight forwarding teams to support operational needs.

Reporting & Communication

  • Prepare and submit timely, accurate, and comprehensive reports to management, including: Daily, weekly, and monthly fleet performance reports.
  • Asset management updates.
  • Administrative cost and budget tracking.
  • Compliance and license renewal status.
  • Summary of payment deadlines to ensure timely payment to suppliers as per agreed terms.
  • Annual maintenance inspection reports as per Appendix A
  • Payment tracking reports aligned with Appendix B.
  • Weekly and monthly consolidated Admin reports.
  • Highlight operational risks, issues, and recommendations for management decision-making.
  • Maintain clear communication channels with management and relevant stakeholders.
  • Ensure payments to vendors, suppliers, and authorities are made on time as per agreed timelines, with a payment deadline summary prepared and monitored by Admin.

Job Requirements

  • Bachelor’s degree in any discipline is required; a diploma in Business Administration is preferred.

  • Minimum 3 years of experience in administrative roles, with at least 2 year in SEZ (Special Economic Zone) operations.

  • Strong knowledge of office administration, facility management, and fleet coordination.

  • Familiarity with government liaison processes, license renewals, and compliance documentation.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic reporting tools.

  • Good communication skills, with the ability to communicate effectively in English.

  • Ability to multitask, work independently, and manage time efficiently in a fast-paced environment.
