Role Purpose

Lead and oversee company-wide administrative operations, including office & facilities management, M&E maintenance, fleet and transportation services, vendors, assets, and administrative support, ensuring efficient, safe, cost-effective operations and a positive working environment.

 

Job Description

  • Oversee daily office administration, facilities, premises, cleanliness, security, and maintenance across the organization.
  • Manage M&E, building, warehouse, electrical, mechanical, generator, and equipment maintenance activities.
  • Lead fleet and transportation operations, including vehicle utilization, maintenance, fuel, cleaning, licenses, permits, road tax, and insurance.
  • Manage fixed assets, administrative supplies, fuel, M&E stocks, rentals, maintenance expenses, and related invoices.
  • Coordinate and manage external vendors, contractors, service providers, and government authorities.
  • Develop and maintain effective administrative systems, procedures, controls, records, and reporting.
  • Plan, prioritize, and coordinate administrative support requirements across Head Office and branches.
  • Manage, coach, and develop the Administration team, including workload allocation, performance management, training, and staff development.
  • Support management in cost control, process improvement, resource planning, and company-wide administrative initiatives.
  • Ensure all administrative, facilities, fleet, and support activities comply with company policies, procedures, safety standards, and relevant regulations.

Job Requirements

Job Specification

  • Minimum Diploma qualification or MBA with at least 10 years of relevant experience in administration, office management, facilities, fleet, or a similar leadership role.
  • Strong knowledge and proven experience in office administration, facilities management, fleet/transportation, and administrative operations.
  • Working knowledge of accounting procedures, bookkeeping, budgeting, cost control, and expense management.
  • Good knowledge of administrative procedures, systems, policies, and relevant regulations.
  • Strong leadership and people-management skills, with the ability to organize, motivate, coach, and develop teams.
  • Excellent communication, coordination, negotiation, and interpersonal skills.
  • Strong planning, organizational, time-management, problem-solving, and decision-making skills.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to manage multiple priorities independently in a fast-paced and changing environment.
  • High level of integrity, discipline, confidentiality, attention to detail, and professionalism.
