Leadership and strategy

  • Work as a member of the SLT in leading strategic areas.

  • Lead and be responsible for line managing the operational, administrative and finance departments in line with the strategic plan.

  • Under the direction of the Head of School, contribute to financial planning; ensuring that financial decisions are clearly linked to the school’s mission and vision.

  • As a member of the senior leadership team, attend all leadership team meetings and report to the Board of Directors where appropriate

  • Implement school-wide changes and allocate resources in line with the school development plans, putting policies and procedures in place and communicating them to staff

  • Take all decisions in line with the vision and mission of the school, and encourage others to do the same 

  • Support developments in technology and consider how it can be used to enhance the school’s business processes.

  • Work in liaison with the Business Development Manager on  strategic planning.

Admissions

  • Oversee the admissions process to ensure an effective student enrolment process

  • In coordination with the admissions officer, manage initial meetings with potential parents and students.

  • Train the team members to perform in a professional manner and in line with the admissions policy and procedures.

  • Ensure the admissions process is clear and managed in a timely manner with the potential parents, admissions team and academic leaders

Communication

  • Be proactive in communicating, connecting and building trust with our current and existing parents  

  • Support positively parents and students who need help and have questions; facilitating and following up meetings with relevant staff members, depending on the nature of the inquiry.

  • Ensure that all inquiries are concluded in a satisfactory and timely manner

  • Build effective, positive and successful communication between teams to ensure that they are constructive and solution focused.

School resources

  • Manage and ensure the day-to-day teaching resources 

  • Ensure that operational support systems function properly, are fit for purpose and meet quality standards. 

  • Manage the ordering process and the preordering of various resources

  • Ensure that students' school uniform stocks are adequate and that orders are completed in a timely manner.

  • Ensure that the furniture and other materials used in the school environment are fit for purpose and classroom resources are checked regularly 

  • Check the school's inventory regularly and take action in advance so that needs and difficulties can be presented to the Head of School in a timely manner.

Finance

  • Understand yearly budget plans in order to manage the expenses effectively.

  • Be aware of the ongoing income and expenses of the school and manage in line with the budget.

  • Supervise and manage the data relating to school fees and the collecting of payments 

  • Manage the school uniform ordering, income and inventory balance 

  • Check and manage the monthly salary lists in liaison with the HR department. 

School Information System

  • Have an overview of the school information system and liaise between administrative staff and system managers to ensure the school information system runs smoothly.

  • Work with the systems manager to ensure that admissions, student core data, attendance and class registration sections of the school information system of MISY is running smoothly and is effectively ‘rolled over’ into the next academic year. 

  • Have good knowledge and understanding of the school management system in order to  support and guide staff and  parents using the system

Health and Safety

  • Ensure that updated security and safety information from external sources is communicated effectively to staff as appropriate. 

  • Ensure that activities relating to the health & safety of students/staff is reported on a daily basis.

  • Ensure the whole campus is clean, pleasant and safe and in line with school health and safety standards.

  • Ensure that all equipment is in good order and functioning well. 

  • Oversee the day to day maintenance of the school site. 

  • Ensure that the necessary maintenance tasks are identified in the classrooms and  general buildings. 

  • Manage the plan in advance for required renovation tasks liaison with the operation executive.

  • Oversee the management of the operational staff, in liaison with the operation executive, to ensure that the health and safety policy and procedures are being adhered to.

  • Organise health and safety training for staff in liaison with the head of school and health and safety manager.

Administration

  • Ensure that all administrative systems and procedures are efficient and fit for purpose. 

  • Keep records in accordance with the school’s policies and procedures and in accordance with local law and the school data protection policy.

  • Coordinate administrative support for the Head of School and Board of Directors as required

  • Work with academic heads to have smooth functions of day-to-day operations to provide quality teaching and learning

  • Manage the complaints procedure in accordance with the policy and procedures.

  • Be aware of and have the knowledge of law and orders of government and any changes.  Communicate with the government office if it is required.

Additional comments

 

The school business manager will be required to safeguard and promote the welfare of children and young people, and follow school policies and the staff code of conduct.

Please note that this list of duties is illustrative of the general nature and level of responsibility of the role. The postholder may be required to do other duties appropriate to the level of the role, as directed by the Head of School.

 

Coordination with Business Development Manager

 

Roles and responsibilities will be clarified for efficiency and reviewed on a regular basis with the Head of School and Business Development Manager.

  • A recognised Business qualification

  • Business experience, with up to date working knowledge of local law and good business practice 

  • Experience of handling difficult situations and conversations successfully 

  • Experience operating administrative databases 

  • Evidence of further professional development

  • Experience of setting up administrative systems and procedures
