Job Description

  • Oversee and supervise day-to-day operations of the administrative department, ensuring an organized workplace area.
  • Conduct regular inspections of vehicle conditions for daily usage and implement measures to prevent accidents.
  • Monitor and manage the maintenance of vehicles, including checking engine oil and ensuring the regular upkeep of necessary parts.
  • Establish a maintenance data record and monitoring system with reminders for scheduled maintenance programs.
  • Ensure adherence to vehicle preventive maintenance schedules, conducting continuous reviews of all vehicles.
  • Select and coordinate drivers for office ferry services, collaborating with the service team to plan daily routes.
  • Monitor daily principal inspection reports submitted by drivers.
  • Record daily task tracker for immediate actions and track fuel consumption for all owned and rental vehicles.
  • Prepare comprehensive reports on fleet activity, encompassing fuel usage and vehicle maintenance schedules.
  • Oversee office and warehouse maintenance and repair activities.
  • Manage stationery, uniform, and other utility supplies as needed.
  • Uphold standard policies and procedures related to office administration and facilities functions.
  • Provide assistance in work processes related to administrative departments when necessary.
  • Control fixed asset management, including the procurement of office supplies.
  • Ensure timely completion of all reports and urgent requirements.
  • Manage the admin monthly advance cost for operation.

Job Requirements

  • Any graduate or Diploma holder in Business Administration or a related field
  • Minimum 4 years of working experience in administration, preferably with experience in vehicle management processes
  • Good proficiency in all four English skills (reading, writing, speaking, and listening) and Microsoft Office 365
  • Positive attitude and strong willingness to learn
  • Good communication and interpersonal skills
  • Ability to drive when required for operational purposes (valid driving license preferred)
  • Able to work under pressure and handle multiple tasks effectively
