Job Description

Executive & Administrative Support

  • Manage and maintain complex calendars, prioritize meetings, and coordinate schedules across multiple time zones.
  • Prepare agendas, take detailed notes, and follow up on action items from internal and external meetings.
  • Handle confidential correspondence and communications with professionalism and discretion.
  • Draft, edit, and proofread documents, presentations, and reports as needed.
  • Maintain an organized, up-to-date filing system (digital and physical) for all personal and professional documents.
  • Categorize and retrieve files efficiently and securely.
  • Ensure sensitive and confidential information is handled with the highest level of discretion.
  • Organize personal purchases, gifts, event planning, and family-related logistics.

Travel Planning & Logistics

  • Handle travel arrangements including visa applications, passport renewals and other required documentation.
  • Assistance with flight booking, hotels, transportation and related services if needed.
  • Coordinating with hosts or event organizers for conferences, meetings, and retreats.
  • Provide real-time support for any emergency changes or amendments to itinerary and urgent requests.

Representation & Coordination

  • Coordinate personal donation and charitable activities by managing donation records, communications, and follow-ups.
  • Attend meetings and external engagements on behalf of employer when delegated.
  • Relay key information, decisions, and requests with clarity and professionalism.
  • Coordinate communication and engagements related to YPO, MYANWEN and other professional or social networks that employer is involved in.

Legal & Regulatory Support

  • Liaise with legal advisors and authorities as necessary.
  • Assist in the preparation, organization, delivery and tracking of contracts, legal documents, and filings.
  • To maintain strict confidentiality in assisting with personal legal affairs.

Expense Reimbursement & Financial Coordination

  • Track and organize receipts and invoices borne by the employer to be reimbursed by company.
  • To prepare the debit form and necessary documentation for personal expenses of the employer for submission to Finance Department of company.
  • Maintain detailed records of submitted expenses.

Personal Development & Training

  • Demonstrate a commitment to continuous learning and personal development.
  • Be open and willing to attend training sessions, workshops, or courses as recommended by the employer to enhance professional skills and knowledge.

Job Requirements

Qualifications

  • Age above 25
  • Strong understanding of company registration process, Myanmar Company Law, and public data sources
  • Understanding of travel process, legal and regulatory coordination, and expense management.
  • Written and verbal communication skills; fluency in Burmese and English.
  • Proficiency in Microsoft Office and Google Workspace.
  • Exceptional organization skills, attention to detail and ability to multitask effectively.
  • Bachelor’s degree or equivalent.
  • Professional in conduct and confident in representing the employer externally.
  • Willingness to travel occasionally and work flexible hours when needed.
  • Interest or experience in legal coordination, philanthropy, and personal development is a plus.
