Key Responsibilities

A. Human Resources Management

Recruitment & Selection

  • Manage manpower requisition and recruitment processes.
  • Coordinate job advertisements, candidate sourcing, interviews, and selection.
  • Conduct reference and background checks.
  • Prepare employment contracts and appointment letters.
  • Manage onboarding and orientation programs.

Employee Relations

  • Maintain positive employee relations and workplace discipline.
  • Handle employee grievances and disciplinary matters.
  • Ensure compliance with company policies and labor laws.
  • Conduct employee counseling when required.

Performance Management

  • Coordinate probation and annual performance evaluations.
  • Monitor KPI and performance review processes.
  • Support managers in performance improvement plans.

Compensation & Benefits

  • Review payroll inputs and attendance records.
  • Administer employee benefits, allowances, and insurance.
  • Monitor leave management and employee records.

Training & Development

  • Identify training needs and prepare annual training plans.
  • Coordinate internal and external training programs.
  • Evaluate training effectiveness and maintain training records.

HR Administration

  • Maintain employee personal files and HR database.
  • Prepare monthly HR reports and manpower reports.
  • Update HR policies, procedures, and employee handbook.

B. Administration Management

Office Administration

  • Manage office facilities, maintenance, and utilities.
  • Supervise office support staff and transportation services.
  • Monitor office assets and inventory.
  • Ensure proper filing and document control systems.

Procurement & Vendor Management

  • Coordinate office purchases and service contracts.
  • Maintain relationships with vendors and service providers.
  • Monitor office expenses and budgets.

Health, Safety & Security

  • Ensure workplace safety and security compliance.
  • Coordinate emergency response and safety programs.
  • Monitor security guards and safety procedures.

Government & Regulatory Compliance

  • Liaise with government offices and authorities.
  • Manage company licenses, registrations, and renewals.
  • Ensure compliance with labor regulations and statutory requirements.

C. Management & Reporting

  • Prepare monthly HR and Administration reports.
  • Analyze workforce data and recommend improvements.
  • Participate in management meetings.
  • Support organizational development initiatives.
  • Perform other duties assigned by management.

Job Requirements

Education

  • Bachelor's Degree in Human Resources Management, Business Administration, Management, or related field.
  • HR Diploma, HR Certification, MBA, or related professional qualifications are preferred.

Experience

  • Minimum 5 years of experience in Administration and Human Resources.
  • At least 2 years in a supervisory or leadership role.
  • Experience in recruitment, payroll, employee relations, and administration management.
