Job Description

The Admin Manager ensures day-to-day operations by managing administrative systems, facilities, vehicles, compliance, and staff welfare. This role is critical in supporting business continuity, cost efficiency, and employee wellbeing. 

  1. 1. Administrative Operations
    1. Run daily office and factory administration; maintain efficient filing, scheduling, and reporting systems. 
    2. Standardize admin processes across subsidiaries to ensure consistency and compliance. 
    3. Develop and enforce SOPs for admin workflows (procurement, vehicle use, facility upkeep). 
  2. Facilities & Vehicles
    1. Manage company vehicles. 
    2. Oversee office and factory facilities; cleanliness, safety, utilities uptime, and emergency readiness. 
    3. Coordinate with subsidiary managers to ensure facility standards are met. 
  3. Procurement & Stock Control
    1. Handle purchasing of office supplies, equipment, and factory consumables. 
    2. Maintain stock registers; implement cost-control measures per NAS policy. 
    3. Negotiate with vendors for best pricing and service agreements. 
  4. Budget & Compliance
    1. Own the admin budget; plan, track, and report expenses monthly. 
    2. Drive cost efficiency initiatives across subsidiaries. 
    3. Ensure timely licensing, registrations, and compliance with local laws and regulations. 
  5. Factory-Side Administration:
    1. Supervise staff welfare programs, and hygiene standard. 
    2. Partner with HR to implement welfare initiatives. 
    3. Monitor admin KPIs. 
  6. Cross-Departmental Support
    1. Act as liaison between admin and all departments. 
    2. Provide logistical and administrative support for departmental projects. 
    3. Ensure smooth communication channels across subsidiaries. 
  7. Leadership & Staff Development: 
    1. Build admin strategies aligned with NAS growth. 
    2. Lead, train, and appraise admin staff performance. 
    3. Foster a culture of accountability, efficiency, and service orientation. 
  8. Reporting & Meetings: 
    1. Produce daily/weekly/monthly admin reports (expenses, vehicle usage, facility uptime, compliance status). 
    2. Analyze data to identify efficiency improvements. 
    3. Track follow-up actions and ensure timely completion.

  1. Bachelor's degree in Business Administration, Management, and related field. 
  2. 8+ years in administrations. 
  3. Strong knowledge of compliance, procurement, and facility management. 
  4. Excellent leadership, communication, and problem-solving skills. 
  5. Proficiency in MS office, Excel, and ERP system.
