Job Description

A Great Opportunity for ...

1. Strategic Administration & Facility Oversight

  • Asset & Inventory Strategy: Develop and refine asset management policies. Review monthly inventory and asset registers to ensure 100% accuracy and cost-effective utilization.
  • Facility Management: Lead the maintenance strategy for all facilities (Yangon & Thilawa). Approve maintenance schedules and ensure structural, safety, and security standards meet ISO and company requirements.
  • Contract Management: Oversee the negotiation and management of service contracts, ensuring favorable terms for the company.
  • Program Leadership: Coordinate with HR team and execution of Staff Welfare, CSR, and seasonal events, ensuring they are announced and budgeted well in advance.
  • ISO Leadership: Act as the lead coordinator for Admin ISO certification, ensuring all processes are documented, audited, and compliant.

2. Fleet & Logistics Management

  • Fleet Optimization: Analyze fuel consumption, GPS data, and maintenance costs to identify trends and implement cost-saving measures for office vehicles.
  • Compliance Oversight: Ensure a fail-safe system for vehicle licensing, insurance, and regulatory compliance.
  • Vendor Management: Evaluate and manage relationships with external workshops and service providers to ensure high-quality repairs and minimal vehicle downtime.

3. Compliance & Government Relations

  • Risk Management: Proactively identify potential compliance risks related to SEZ authorities and government regulations.
  • High-Level Liaison: Lead communication with government agencies and SEZ authorities for complex permit renewals or inspections.
  • Document Governance: Ensure the integrity and security of all legal permits, licenses, and statutory company documents.

4. Financial Management & Reporting

  • Budgeting: Assist in preparing the annual Admin budget and monitor monthly spending to prevent cost overruns.
  • Payment Oversight: Final review of payment tracking reports (Appendix B) to ensure all vendor and statutory payments are prioritized and paid on time.
  • Management Reporting: Synthesize daily/weekly reports from executives into high-level executive summaries for management, highlighting risks and strategic recommendations.

5. Leadership & Team Development

  • Team Supervision: Directly manage and mentor Senior Admin Executives and junior staff, conducting performance reviews and identifying training needs.
  • Process Improvement: Lead the redesign of administrative workflows to increase efficiency and integrate technology (e.g., automating manual records).
  • Cross-Departmental Coordination: Serve as the primary point of contact for Warehouse, Transport, and Finance departments to ensure admin support meets operational demands.
  • Any Ad hoc responsibilities which may evolve based on business requirements and available manpower.

Job Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 5 years of experience in administrative management, operations coordination, or related roles, preferably in logistics or industrial operations, with exposure to SEZ environments like Thilawa.
  • Strong organizational and time-management skills, capable of handling multiple tasks and priorities effectively.
  • Proficiency in office software (Microsoft Office, Excel), documentation, record-keeping, and reporting.
  • Solid understanding of office administration processes, procurement, facilities/asset management, and operations workflows.
  • Proven supervisory and team-management skills; ability to mentor and coordinate administrative and operations staff.
  • Excellent interpersonal and communication skills to collaborate with departments, external vendors, service providers, and stakeholders.
  • Proficiency in English is required.
