Position Objective

The Executive Assistant will be responsible for providing executive and administrative support to the Principal, members of the Senior Leadership Team, and the School Management Board. This role will manage the Principal's calendar, communications, and document management, and will attend and record minutes for Board and Management meetings. In addition, the Executive Assistant may also serve as the focal complaint receiver for the school, depending on the specific duties and responsibilities assigned by the Principal and Senior Leadership Team.

Responsibilities

  • Provide executive and administrative support and assistance to the Principal, ensuring discretion, diplomacy, and confidentiality.
  • Manage the Principal's calendar, scheduling and arranging meetings, booking meeting rooms, managing email, and maintaining filing and records management systems.
  • Manage initial telephone enquiries and requests to the Principal, redirecting where appropriate.
  • Manage day-to-day correspondence and preparation of letters, emails, reports, presentations, and other materials as required, including those relating to Board matters and external authorities.
  • Attend Board and Management meetings, record minutes, and prepare follow-up actions, agenda preparation, and confidential minute-taking and distribution of follow-ups.
  • Liaise with other departments to facilitate internal and external functions.
  • Organize catering for various meetings, including Board and sub-committee meetings.
  • Organize Principal's attendance at local, interstate, and overseas conferences, including registration, travel, and visa requirements.
  • Liaise promptly and efficiently with external organizations as required.
  • Serve as the focal complaint receiver for the school, if assigned this responsibility by the Principal and Senior Leadership Team. This may include receiving, documenting, and responding to complaints from parents, students, or other stakeholders, and coordinating with relevant departments or individuals to address and resolve complaints in a timely and effective manne
  • Willingness to undertake other duties as reasonably requested by the Principal.

Job Requirements

  • Bachelor's degree in business administration, management, or a related field.
  • 3+ years of experience in an executive support role, preferably in an educational setting.
  • Excellent communication, organizational, and problem-solving skills.
  • Strong attention to detail and ability to manage multiple tasks and priorities.
  • Experience with document management and record-keeping systems.
  • Familiarity with governance and board management practices.
  • Ability to work collaboratively with diverse stakeholders.
  • Strong computer skills, including proficiency with Microsoft Office and other relevant software.
