Reporting to the Head of Operations and Governance, the Operations Assistant Manager is responsible for creating new organizational policies and overseeing daily administrative functions. This role requires a professional with significant leadership capability and deep expertise in operations management, particularly within Finance. To succeed, candidates must exhibit high-level operational proficiency and the ability to manage complex departmental tasks effectively.

 

Job Description

Financial and Budgetary Management:

  • Prepare, monitor, and manage budgets and accounts, including processing advance budget approvals and clearing expenses.
  • Manage vendor relations by processing and verifying invoices, ensuring timely payments and accurate record-keeping.
  • Oversee lecturer honorariums, allowances, ensuring compliance with budgetary constraints.
  • Preparing and supervising the Account Process and Flowstax process of Learning Academy
  • Budget calculation of all operational and related stakeholder budgets
  • Comprehensive Operational and Stakeholder Budget Analysis
  • Assist in the development of the annual administrative budget and monitor expenses to ensure adherence to budgetary constraints.
  • Submitting and clearing all training expenditures on the Flowstax Portal with the assistance of finance guidance.

Logistics and Training Operations:

  • Coordinate end-to-end training logistics, including venue booking , set-up, and instructional material preparation.
  • Manage comprehensive travel arrangements (Movement Orders, flights, hotel bookings, and transportation) for trainees and L&D staff.
  • Supervise trainee and student welfare, including meal planning and hostel/hotel accommodations during courses.
  • Oversee office supplies inventory and procurement, ensuring adequate stock levels and cost-effectiveness.

Administrative and Office Management:

  • Maintain and innovate filing systems and inventory controls for office and training supplies, ensuring availability and cost-efficiency.
  • Manage general office activities, including incoming/outgoing correspondence, reception of guests/lecturers, and facility-related projects (renovations, recycling).
  • Analyse the operational reports (annual budgets, project budgets, monthly costs, hostel usage, transportation, maintenance plan, and operational works).
  • Ensure all operations and documentation adhere strictly to company policies and regulatory requirements.
  • Coordinate with relevant departments to address facility and building maintenance, IT support, and other operational needs.
  • Manage the usage of the office ferry, including monitoring/ assign driver, requesting diesel and vehicle maintenance
  • Develop and implement strategies to ensure hostel guest service and satisfaction.
  • Implement projects for the bank's direction as Family-friendly work environments (Lactation Rooms and Child Care Centre).

Team Leadership and HR Support:

  • Supervise administration, maintenance, and security staff, ensuring clear communication and accountability for their responsibilities.
  • Supervise and lead a team of Operations staff (Yangon) including Office Staff, Peons, Driver, Security, Sweeper.
  • Delegate tasks effectively and empower the team to take ownership and solve problems.
  • Participate in Interview Assessments with the HR Team and respective hiring managers.

  • Demonstrated ability to meet deadlines and achieve targets
  • At least 5 years of working experience with equivalent combination of experience in Human Resources Knowledge of office management systems and procedures
