Job Description

  • Serve as the first point of contact, welcoming visitors in a polite, professional, and friendly manner
  • Handle walk-in guests, manage in/out procedures, and direct visitors appropriately
  • Coordinate and manage courier services, including receiving, dispatching, and recording documents and parcels
  • Answer and route incoming phone calls professionally and take accurate messages
  • Manage official communication channels and maintain accurate client records
  • Ensure the reception area is well-organized, clean, and presentable at all times
  • Provide administrative and clerical support including filing, scanning, photocopying, and data entry
  • Report and communicate property and office maintenance–related matters (e.g. facilities issues, repairs, or supplies) to the Admin Team in a timely manner
  • Support management with ad-hoc administrative duties as required

Job Requirements

  • Bachelor’s degree or Diploma in Administration or a related field is preferred; equivalent hands-on experience will also be considered
  • Fresh graduates are welcome to apply; candidates with up to 1 year of experience in a receptionist or related role will be an advantage
  • Good command of both written and spoken English
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook)
  • Detail-oriented with strong organizational and record-keeping skills
  • Ability to multitask and manage priorities effectively in a fast-paced environment
  • Confident, professional, and well-presented with a positive attitude
  • Strong communication and interpersonal skills with a customer-service mindset
  • Able to work independently as well as collaboratively within a team
