Job Summary

The Senior Officer, HR Operations plays a vital role in delivering high-quality, consistent, and compliant HR services that span the full employee lifecycle. This position is responsible for executing operational HR processes with precision, ensuring a seamless employee experience, and upholding governance standards across key HR touchpoints. The role works closely with internal stakeholders and external vendors to support employee services, compliance, data accuracy, and continuous process improvement.

 

Key Responsibilities

1. Employee Life Cycle Management & People Experience

  • Support end-to-end onboarding and offboarding processes to create a smooth, positive, and structured employee experience.
  • Coordinate employee tools, transportation (e.g., ferry services), and company provisions such as SIM cards, ID cards, business cards, and Grab for Business.
  • Administer expatriate employee services, including visa, FRC, stay permits, and Form C applications, through efficient coordination with external agents/vendors.
  • Maintain employee service SLAs through prompt support and issue resolution for both employees and business units.
  • Prepare and consolidate monthly HR operational reports, highlighting key metrics and service insights.

2. HR Governance, Compliance & Administration

  • Ensure labor law compliance by managing employment contract (EC) registration at relevant labor offices and maintaining all regulatory documentation.
  • Administer Workforce Cost Control (WCC) processes, including budget approval workflows and purchase requisition (PR) activities.
  • Oversee office supply requisition, tracking, and inventory management in close collaboration with Workplace Management.
  • Support data accuracy and integrity in HRIS and employee documentation.

3. HR Operations Projects & Process Improvement

  • Provide operational support for assigned HR initiatives and projects, such as digitization efforts, policy implementation, and service optimization.
  • Identify opportunities to enhance HR processes and employee touchpoints through technology or process innovation.
  • Participate in process audits, SOP reviews, and feedback loops for continuous improvement of HR service delivery.

4. Cross-Functional & Ad-Hoc Support

  • Support Workplace Management initiatives and cross-functional activities to ensure smooth coordination of shared services.
  • Deliver responsive and proactive support to HR and business teams, maintaining a high standard of employee care and operational reliability.

Job Requirements

Qualifications & Experience

  • Bachelor’s degree (or equivalent) in Human Resources, Business Administration, or  related field.
  • 2+ years of relevant experience in HR operations, employee services, or HR administration.
  • Strong understanding of HR processes and local labor law compliance requirements.
  • Excellent coordination and communication skills, with a customer-service mindset.
  • Ability to manage multiple priorities with a high level of attention to detail.
  • Experience with HRIS or ERP systems is a plus.
